When to leave Excel for a CRM

6 signs Excel is no longer enough

1. More than one person edits the same file: multiple copies, and someone overwrites someone else's work.
2. You forget follow-ups: a customer said "call me next week" and it got lost between the rows.
3. You do not know where each customer stands: who is new, who is waiting for a quote, who is about to close?
4. A rep leaves and takes their customers with them: the customer list lives with the employee, not the company.
5. You re-enter the same data: once in the customer file, once in the invoice and once in the inventory.
6. You cannot answer quickly: how much did we sell this month? Who are our best customers? How much is owed to us?

Moving in a week

1. Day 1: clean the file. Remove duplicate rows, standardise mobile number formats and give every customer a clear name.
2. Day 2: register your company and try a small file. Import 20 customers first and check the columns matched correctly.
3. Day 3: import the rest (customers, then items if you keep inventory, then projects).
4. Day 4: invite your team with invitation links, and decide who is an admin and who is a sales rep.
5. Day 5 onwards: work in the system only. Keep the Excel file read-only for two weeks, then archive it. Never update both.

Common mistakes

• Migrating without cleaning the file, so the mess moves with you.
• Putting the whole team on at once without training. Start with two people.
• Keeping Excel as a "backup" that is updated in parallel, so people lose trust in the system.
